⚠️ CRITICAL WARNING: When uploading a new eligibility file, any team members omitted from the new file will lose access to Calm Premium at the end of the current month. Additionally, if you purchase extra seats (covered lives), this action is final and cannot be decreased or refunded once the purchase is complete.

Setting Up Your Account & Access
First-Time Admin Setup
Look for the welcome email sent to the person who purchased the subscription. It contains your unique login link.
If you do not see it, check your spam or junk folder.
Log in to your account, click on the Home tab, and complete the steps under the Get Set Up section.
Troubleshooting Admin Login
Password Reset: On the login screen, click Forgot Password. The password reset link sent to your email will expire after 60 minutes.
Still Locked Out?: If you still cannot access your account, please reach out to our team via the Calm Support Contact Form.
Adding Multiple Admins
Yes, your group can have more than one Administrator.
Navigate to the Account tab.
Look under Account Details to invite additional team members. Note: If your portal includes a Plan & Payment tab, all invited Administrators will have the authority to manage the subscription and purchase additional seats.

How Team Members Activate Calm
Once your setup on the Home tab is complete, your members can activate their access.
Share your organization's unique Calm URL with your eligible team members.
Members must visit this URL and enter the exact email address that you provided in your eligibility file.
They will be prompted to log in or create a free Calm account. Calm Premium access will apply automatically.

Modifying the Team Mid-Year
You can adjust who has access to your Calm benefit at any time using two methods:
Option A: Bulk Updates (Add or Remove Many Members) Upload a new Excel/CSV file on the Eligibility tab. New members can register immediately. Omitted members will lose access at the end of the current month. If the file exceeds your purchased seat count, you will be prompted to buy more seats.
Option B: Manual Removal (Remove One Member at a Time) Go to the Eligibility tab and click Users. Locate the specific employee and click the Red minus (-) button next to their name.
Seats, Billing, & Renewals
Adding Additional Seats Mid-Year
All Admins can buy additional seats (covered lives) at a prorated rate mid-year.
Navigate to the Plan & Payment tab.
Select the option to add seats and complete the checkout process.
Note: If you do not see a Plan & Payment tab, please contact your Customer Success Manager directly to process your upgrade.
Managing Auto-Renewal & Cancellation
Go to the Plan & Payment tab.
Click Cancel Subscription to turn off auto-renewal.
After cancelling, your team will retain Calm Premium access until the end of your current paid contract period.

Usage Reporting & Privacy
You can monitor organizational engagement via the Reporting tab. This dashboard displays aggregated data, including:
Sign-up and activation rates
Overall engagement metrics
Top content categories chosen by your team
🔒 Privacy Note: To protect user data privacy in alignment with our Privacy Policy, reporting metrics will only populate in your dashboard once 10 or more team members have successfully redeemed their benefit. Individual user activity is never shared.
